1. Overview

This Privacy Policy describes how Signal AI ("Signal AI," "we," "us," or "our") collects, uses, and shares personal information when you visit our websites, request a demo, or use the Signal AI clinical intelligence platform (collectively, the "Service").

The Service is designed for licensed healthcare professionals and healthcare organizations. Where we process patient information on behalf of a healthcare organization, additional terms apply — see Protected Health Information below.

2. Information We Collect

Information you provide. When you request a demo, create an account, or contact us, we collect information such as your name, work email address, phone number, professional role, license information, organization, and the contents of your communications with us.

Information collected automatically. When you use the Service, we collect device and usage information such as IP address, browser type, operating system, pages viewed, features used, and timestamps. See Cookies & Analytics.

Patient information submitted by customers. Healthcare organizations and professionals using the platform may submit patient information — such as laboratory results, vital signs, and clinical history — for the purpose of receiving the Service. This information is processed on the customer's behalf, as described in the next section.

3. Protected Health Information

WHERE SIGNAL AI PROCESSES PROTECTED HEALTH INFORMATION ("PHI") ON BEHALF OF A COVERED ENTITY, IT DOES SO AS A BUSINESS ASSOCIATE UNDER A BUSINESS ASSOCIATE AGREEMENT ("BAA") AND IN ACCORDANCE WITH HIPAA. PATIENT DATA IS NEVER USED TO TRAIN OUR MODELS.

Our use and disclosure of PHI is governed by the applicable BAA and our HIPAA Notice, which control over this Privacy Policy with respect to PHI. In summary: we use PHI only to provide and secure the Service for the customer, we do not sell PHI, and we require any subcontractors that handle PHI to sign agreements at least as protective as our BAA.

If you are a patient and have questions about how your information is handled in the platform, please contact your healthcare provider — they control your records. We act on their instructions.

4. How We Use Information

  • To provide, operate, secure, and support the Service;
  • To create and manage accounts and authenticate users;
  • To respond to inquiries and demo requests;
  • To send administrative communications, and — with your consent where required — marketing communications you can opt out of at any time;
  • To monitor, audit, and improve the performance, safety, and reliability of the Service;
  • To comply with legal obligations and enforce our agreements.

5. AI Features

The Service uses artificial intelligence to organize clinical information and generate evidence-linked suggestions for healthcare professionals. AI outputs are generated within the platform, are logged for auditability, and are attributed to their underlying evidence where possible. We do not use patient data to train our models. Aggregated, de-identified usage information may be used to improve the reliability and safety of the Service.

6. How We Share Information

We do not sell personal information. We share personal information only:

  • With service providers (such as cloud hosting and security vendors) that process it on our behalf under contractual protections;
  • With your organization, when your account is provisioned by a customer of Signal AI;
  • For legal reasons, when required by law, subpoena, or to protect the rights, safety, and security of Signal AI, our users, or the public;
  • In a business transfer, such as a merger or acquisition, subject to the commitments in this Policy;
  • With your consent or at your direction.

7. Cookies & Analytics

Our websites use cookies and similar technologies to remember preferences, keep sessions secure, and understand how the site is used so we can improve it. You can control cookies through your browser settings. The clinical platform does not use advertising cookies, and we do not use PHI for advertising of any kind.

8. Data Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit and at rest, role-based access controls, audit logging, and continuous monitoring. No system is perfectly secure; if we become aware of a breach affecting your information, we will notify you and the relevant authorities as required by law and by our BAAs.

9. Data Retention

We retain personal information for as long as needed to provide the Service and for legitimate business or legal purposes. Patient information submitted by customers is retained and deleted according to the customer's instructions and the applicable BAA. When information is no longer needed, we delete or de-identify it.

10. Your Rights & Choices

Depending on where you live, you may have rights to access, correct, delete, or port your personal information, and to object to or restrict certain processing. You may also opt out of marketing communications at any time using the unsubscribe link in our emails or by contacting us.

To exercise your rights, contact us at privacy@signalingintel.com. We will verify your request and respond within the timeframes required by applicable law. Note that requests concerning patient records in the platform must be directed to the healthcare organization that controls them.

11. International Transfers

We are based in the United States and process information there and in other countries through our service providers. Where required, we use appropriate safeguards — such as standard contractual clauses — for cross-border transfers.

12. Children

Our websites and the Service are not directed to children, and we do not knowingly collect personal information directly from children. Patient information relating to minors may be submitted to the platform only by healthcare organizations, under their legal responsibility and the applicable BAA.

13. Links to Other Sites

Our websites may link to third-party sites. We are not responsible for their privacy practices. We encourage you to review the privacy policies of any site you visit.

14. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will provide notice on this page and, where appropriate, by email. The "Last updated" date above reflects the effective date of the current version.
